VTC 3PL Services Ltd. was founded in 1983 in Pune by Vishal Ambadkar with a single conviction — that India's enterprise customers deserved a logistics partner that operated with the discipline of an in-house function.

1. About This Policy

VTC 3PL Services Ltd ("VTC", "we", "us") is committed to protecting the privacy of individuals who interact with our website (www.vtc3pl.com), portals, and services. This Privacy Policy is published in compliance with the Digital Personal Data Protection Act, 2023 (DPDP Act), the Information Technology Act, 2000, and applicable rules thereunder.

2. Data We Collect

We collect personal data you voluntarily provide, including: name, company, mobile number, email address, city/region, vehicle details (for partner forms), and enquiry content. We also collect technical data automatically: IP address, browser type, device identifiers, pages visited, and referral source — via cookies and server logs.

3. Purpose of Processing

  • Responding to enquiries, RFPs, and partnership applications
  • Operating shipment tracking and customer portal services
  • Sending service-related communications (no marketing without consent)
  • Improving website performance and user experience
  • Compliance with legal and regulatory obligations

4. Legal Basis

Processing is conducted on the basis of: (a) your consent, (b) performance of a contract or pre-contractual steps, (c) legitimate interests in operating our business, and (d) compliance with legal obligations — as applicable under the DPDP Act, 2023.

5. Data Sharing

We do not sell your personal data. We may share data with: (a) our operations team for service fulfilment, (b) technology service providers operating under data processing agreements, (c) regulators or courts as required by law. Any international transfers are governed by appropriate safeguards.

6. Data Retention

Contact form data is retained for 3 years. Partner application data is retained for 5 years. Portal login data is retained for the duration of the business relationship plus 7 years for audit purposes. You may request deletion at any time subject to legal retention requirements.

1. Scope

This Shipping Policy applies to all logistics and transportation services provided by VTC 3PL Services Ltd, including primary transportation, secondary distribution, last-mile delivery, and e-commerce fulfilment.

2. Service Coverage

VTC operates across 16 states in India with a network of 32 depots and 12 branch offices. Last-mile delivery extends to 20,000+ villages. International and export shipments (including JNPT port operations) are subject to separate commercial agreements.

3. Booking & Confirmation

All shipments must be booked through our Customer Portal, by contacting your assigned operations manager, or via API integration. A Lorry Receipt (LR) / Docket Number is issued upon booking confirmation. This LR number is the primary reference for all tracking and queries.

4. Estimated Transit Times

  • Primary FTL (inter-state): 1–4 business days depending on distance and route
  • Secondary distribution (depot to town): 1–3 business days
  • Last-mile (town to village): 1–5 business days depending on geography
  • JNPT container to inland destination: 5–10 business days

Transit times are estimates and may vary due to weather, road conditions, regulatory inspections, or force majeure events. VTC is not liable for consequential losses arising from transit delays.

5. Tracking

Shipment status can be tracked in real-time using the LR number on our website (www.vtc3pl.com/TrackPackage.php) or through the Customer Portal. For queries, contact your depot manager or email customer.care@vtc3pl.com.

6. Dangerous Goods & Restricted Items

Transportation of dangerous goods (agrochemicals, hazardous chemicals) is handled under our specialised cargo service with full MSDS documentation and statutory compliance. Items prohibited by law (narcotics, unlicensed firearms, counterfeit goods) are not accepted under any circumstances.

7. Proof of Delivery (POD)

A signed POD is generated for all consignments. Digital PODs are available through the Customer Portal within 24 hours of delivery. Physical POD requests must be made within 90 days of delivery.

8. Claims

Claims for loss or damage must be submitted within 7 days of delivery (or expected delivery date) by email to customer.care@vtc3pl.com with the LR number, description of goods, and supporting evidence. Claims are governed by the terms of the applicable commercial agreement.

2. Services

VTC provides integrated third-party logistics services including warehousing, primary transportation, secondary distribution, channel partner management, specialised cargo handling, and e-commerce fulfilment. The scope of services for each customer is defined in a separate commercial agreement (Master Service Agreement or Customer Contract).

3. Use of Website & Portals

You agree to use this website and associated portals only for lawful purposes. You must not: attempt to gain unauthorised access to any system or account, transmit malicious code or interfere with site availability, use the site to transmit unsolicited commercial communications, or impersonate any person or entity.

4. Intellectual Property

All content on this website — including text, graphics, logos, icons, and software — is the property of VTC 3PL Services Ltd and is protected under the Copyright Act, 1957. No content may be reproduced, distributed, or used commercially without prior written permission.

5. Limitation of Liability

The website is provided on an "as is" basis. VTC makes no warranties, express or implied, regarding the accuracy, completeness, or availability of website content. To the maximum extent permitted by law, VTC shall not be liable for any indirect, consequential, or incidental damages arising from use of this website.

7. Governing Law & Jurisdiction

These terms are governed by the laws of India. Any disputes arising shall be subject to the exclusive jurisdiction of the courts at Pune, Maharashtra.

1. Scope

This Cancellation and Refund Policy governs the cancellation of logistics bookings and any applicable refunds for services provided by VTC 3PL Services Ltd.

2. Booking Cancellation

  • Cancelled before vehicle dispatch: Full refund of any advance payment, less a processing fee of ₹500 or 2% of the booking value (whichever is higher).
  • Cancelled after vehicle dispatch but before loading: 25% of the freight value will be charged as a cancellation fee.
  • Cancelled after loading / in-transit: No refund applicable. Full freight charges are payable.

3. Service Failures by VTC

In cases where VTC fails to dispatch a committed vehicle within 4 hours of the agreed pickup time (without prior notice), the customer is entitled to cancel without penalty and receive a full refund of any advance paid.

4. Warehousing & Storage Services

Monthly warehousing contracts require 30 days' written notice for termination. Storage charges for the notice period are payable in full. Partial month charges are pro-rated on a daily basis.

5. Refund Processing

Approved refunds are processed within 7–10 business days to the original payment source. For NEFT/RTGS refunds, VTC requires verified bank account details from the customer.

6. Disputes

Any dispute regarding cancellation charges must be raised within 15 days of the cancellation date by writing to customer.care@vtc3pl.com with the LR/Booking number, date, and description of the dispute. VTC will acknowledge within 3 business days and resolve within 21 business days.

7. Force Majeure

VTC is not liable for cancellations caused by circumstances beyond reasonable control including natural disasters, strikes, government orders, or disruptions to road/rail/port infrastructure. Refunds in force majeure situations are assessed case-by-case.
